Primary Functions:
Human Resources:
· Works with the Senior Director to develop and implement personnel policies and procedures
· Posts job openings internally and with appropriate/diverse external resources
· Prepares materials and participates in new employee onboarding program
· Ensures smooth employee offboarding processes including exit interviews, paperwork requirements and/or communicating with terminated employees
· Maintains and prepares electronic and paper personnel files for employees
· Maintains employee handbook
· Maintains current job descriptions
· Maintains employee database, prepares files and forms for new employees, sorts and updates records
· Processes applicant/volunteer and employee background checks and drug tests
· Understands and processes employee benefits/programs
· Assembles mandatory training options for staff; records completed trainings
· Protech participant’s rights to privacy and confidentiality in all forms of communication.
· Performs other related duties as required and assigned
Board Liaison:
· Drives and guides ongoing and effective communication with the Board of Directors
· Plans and executes all Board meetings in conjunction with the CEO
· Creates meeting timelines, prepares, and distributes meeting notifications and agenda materials, and manages details of meeting execution
· Compiles Senior Leadership reports for Board meetings
· Attends board and committee meetings, records and circulate minutes
· Maintains institutional memory around board functioning
o Keeps current board documents organized and saved in a shared drive
o Develops and maintains the Board Orientation Manual; updates orientation materials as necessary, and distributes to incoming board members
· Orients new board members
o Provides proper documents for the application and boarding process

· Proficient use of technology and Excel, Word, PowerPoint, and Outlook
· Excellent communication skills both verbal and written

Education and Training
· College degree preferred, but not required.
· Experience working with HRIS systems preferred, but not required.
· Two to Three years of related experience working in office administration, or equivalent combination of education and experience.

- Prepares materials for and executes monthly All Staff meetings
- Plans and schedules meetings by compiling agendas, other needed info, coordinating logistics, and inviting guests
- Takes and distributes minutes for meetings as needed
- Independently identifies opportunities to provide additional support in alignment with the CEO, President, and organizational needs
- Coordinates and manages routine administrative duties such as filing, organizing and processing monthly expense reimbursements
- Drafts letters, personal correspondence, and presentations
- Conducts research, assembles, and analyzes data to prepare reports and documents
- Assists leadership team as needed
- Attends and participates in all required trainings and meetings each fiscal year
